Why PDF workflows still depend on source files

PDF became widely used because it lets people distribute a page representation across different computers and applications. Its strengths for sharing also explain some editing limitations.

From source to fixed pages

An authoring application can turn structured text, images and layout rules into PDF drawing instructions. The exported file may no longer retain the original editing model. A table seen on the page might be separate text objects and lines rather than a spreadsheet table.

Open standards and specialized profiles

PDF is standardized in the ISO 32000 family, while specialized requirements include archival and accessibility standards. A file that opens in a reader does not automatically satisfy one of those specialized profiles.

Choose a reversible process

Keep source documents, create output copies and inspect conversions. Use the narrow tool needed for the job. For changes to wording or design, editing the source and exporting again is often more reliable than trying to reconstruct structure from a finished PDF.
